2023 Year-End | Sage 300 CRE & Sage 100 Contractor

It’s that time again!  Calendar year 2023 is wrapping up and 2024 is about to start.  That means the Sage year-end software upgrades are just around the corner, and we’re here to help make that as smooth a process as possible.  First things first, there are some key events and times to pay attention to: 
  1. Payroll Tax Table Updates (after the last payroll check of 2023)
    1. Sage 300 CRE: this process can be completed from the PR module at any point and has no direct effect on the software upgrade process.  Ideally it should be done prior to the first payroll of 2024.
    2. For Sage 100 Contractor: PR tax tables are hard coded in your Sage accounting software.  You must update after the last payroll of 2023, though it generally doesn’t cause issues to update after the first payroll of 2024.
  2. W-2 and 1099 deadline
    1. The software upgrade should be completed prior to Jan. 31, 2024, in order to meet the deadlines for submitting W-2 and 1099 forms. 
When we look at these dates and events, we see that the software upgrade can take place over a relatively wide range of time.  Sage 300 CRE environments can be upgraded at any time from the release date of the upgrade through 1/31/2024 but must be done prior to issuing W2s and 1099s.  Sage 100 Contractor environments can be upgraded at any point after processing the final payroll of 2023 through 1/31/2024. 
 
The Sage accounting year-end software upgrade process can be broken into 3 generalized steps: 
  1. Verify your environment meets the Sage System Requirements
  2. Prepare your environment for upgrade
  3. Perform the upgrade  
Bangert’s year end service covers step 3, but you are responsible for steps 1 and 2.  Failure to ensure that these steps are followed may require us to reschedule (and the flat rate only covers 1 appointment).  Don’t worry, though; your part should be easy!  We’ve put together a quick reference to help you with the process below, and you can always reach out to us for assistance: 

Step 1 (Verification):  
To begin with, you’ll want to verify that your environment meets the Sage recommended system requirements.  Since these haven’t changed since last year, most of our clients shouldn’t have any issues.  If you are not sure how to check this, please reach out to your IT provider.  The system requirements are the same for both Sage 300 CRE and Sage 100 Contractor: 

Server: 
  1. OS: Windows Server 2012 R2, Windows Server 2016, Windows Server 2019, or Windows Server 2022
    1. Some environments will have a workstation acting as the Sage server.  If that is your situation, the OS requirements match the Workstation requirements below
  2. RAM: 8+ GB (16+ GB if using Sage 300 CRE SQL Replicator)
  3. Data Storage:  HDD or SDD with free space equal to or greater than current Sage Accounting data usage 
Workstation: (both Sage 300 CRE and Sage 100 Contractor) 
  1. OS: Windows 10, or Windows 11: Home versions not supported
  2. RAM: 8+ GB
    1. Sage 100 Contractor official recommendations are 4+ GB, but 8+ GB will have the best performance.
  3. Storage: HDD or SDD 16+ GB free space 
Step 2 (Preparation): 
Next you will want to prepare your environment for the upgrade.  This includes employees and IT infrastructure.  Ensure each of the following items are completed prior to the beginning of your appointment: 
  1. Notify your IT provider of the scheduled software upgrade 
  2. All current Windows updates installed on server and all workstations
  3. Notify Sage Accounting users that they will need to be out of the Sage Accounting system for the entire upgrade process
    1. Sage 300 CRE: Notify users that a workstation restart will be required as part of the software upgrade.
  4. Ensure that you can provide Windows administrative access to the Sage server Windows desktop
    1. This is different than accessing the files on the server.  Basically, we need access to the server’s Start menu.
  5. Ensure that you can provide Windows administrative access to workstation Windows desktops 
Step 3 (Installation): 
This is the part that we do for you!  As a general overview, our consultant will perform the following action items: 
  1. Make a backup of your Sage accounting data immediately prior to upgrading the Sage accounting software.
  2. Install the Sage accounting software upgrade on your Sage server
  3. Upgrade the Sage accounting software data to match the new version
  4. Train you on workstation installations and install the Sage accounting client software on up to 5 workstations.
