How to Implement Bank Account Restrictions in Sage Intacct

Setting Up Multi-Entity Restrictions

To begin, navigate to the Company area and access the Multi-Entity Console. Here's what you need to set up to ensure entity restrictions are possible:

  1. Go to Company Admin > Subscriptions.
  2. Select Multi-Entity Management and click on Configure.
  3. Ensure that the restriction boxes for Checking and Savings Accounts are enabled. These include restrictions by location, department, department group, or location group.

Make sure the following checkboxes are active:

  • Restrict access by location
  • Restrict access by department
  • Restrict access by department group
  • Restrict access by location group

Configuring Cash Management Account Restrictions

Next, proceed to the Cash Management area:

  1. Select the Setup tab.
  2. Choose a checking account and click Edit.
  3. Go to the Restrictions tab and set the desired entity restrictions, such as Timberline GC in the Tacoma location.

Depending on the selected location, you can restrict the account to a single entity or multiple entities.

Note: Users without access to the specified entity will not be able to view the restricted checking account.

Testing User Access Restrictions

For example, if we edit a user named Doug and give him development access with full admin rights, he will still be restricted from viewing the account if he doesn't have access to Timberline GC location:

  • Assign the user to the appropriate entity with the necessary permissions.
  • Save the changes and sign in as the user in a different browser to test the restrictions.

The user should only have access to their assigned entity and be unable to see the restricted checking account in cash management or any other screens.

Final Considerations for Account Security

To ensure that your bank accounts are not visible to unauthorized users in Sage Intacct, apply entity-level restrictions to both the user and the cash management account. Remember to also restrict users in the Company Admin area under their specific user entity restriction tab.
