Creating a business user in Sage Intacct is a straightforward process, essential for managing your team's access to various functionalities within the system. This process is slightly different from creating an admin user, focusing more on business-specific roles and permissions.
Accessing User Management:
Navigate to Applications > Company > Admin > Users.
Here, you'll find existing users, including any admin users previously set up.
Adding a New User:
Click on Add to create a new user.
Enter user details like username (e.g., Buser001), first and last name, and email address. This email is crucial as it's used for user access and notifications.
Setting User Type:
Assign the user type as Business. Unlike admin users, do not enable admin privileges for a standard business user.
Password Management:
Typically, do not provide the initial password to business users. Allow them to reset it themselves for security purposes.
User Roles and Permissions:
Assign a specific role (e.g., Accounts Payable Team) that defines what the user can access and do in the system.
Roles control permissions and access within Sage Intacct, ensuring users only see what they need for their job functions.
Entity and Department Assignment:
Generally, avoid assigning business users to a specific entity, especially if transactions are managed at the top level.
Department assignment should also be considered carefully, depending on the data access required for the user.
Saving and Licensing Considerations:
After setting up the user details and roles, click Save.
A warning about potential additional charges may appear. This is important to note as creating more users than your license allows could incur extra costs.
If you're at your license limit but need more users, either deactivate an existing user to free up a license or prepare for the additional prorated charges until the next renewal cycle.
Once you click 'Create', enter your password to confirm the creation of the new user. If you encounter any errors (such as a username conflict), make necessary adjustments (like adding a numeric suffix) and try again.
